Short answer: some AI receptionists book appointments straight into your calendar and others only take a message; the reliable way to tell is a test call that ends with a real event in your own calendar.
The most common complaint from owners who tried an AI receptionist is that it took a message: a name and number in an email, and the callback still on you. Other products check your calendar and book the job while the caller is on the line. Both get sold as an "AI receptionist", so check which one you're buying before you pay. Tradey hasn't published any test results yet, and this page names no vendors.
| What you check | Takes a message | Books the job |
|---|---|---|
| Your calendar or dispatch app after a test call | Nothing new; you get an email or text summary | A new event with the caller's name, number, address, service and time |
| What the caller hears | "Someone will call you back" | A specific day and time read back, then a confirmation text or email |
| Rescheduling | Another message for you to handle | The old slot freed and the new one booked, with no duplicate |
| Who still has work to do | You call back, often hours later | You check the booking and show up |
A message-taker can still be the right choice if you want to screen every job yourself. Just don't pay booking prices for it.
Our five-call test checks each of these, and the printable scorecard lets you mark them by hand.
Monthly cost = plan price + (your calls or minutes above the included amount × the overage rate) + phone number and add-on fees. Divide by your calls per month. At a few calls a day the plan price dominates, so compare the cost per call at your real volume. Our buyer guide and the trade checklists below show list prices worked out at 50, 150 and 500 calls a month.
Tradey Verified is coming soon and tests exactly this: one recorded test call that has to land on a live calendar, with a pass or fail result published next to the recording. No bot has been Tradey-verified yet, and we haven't published any results. Builders can submit evidence, and buyers can get notified when results land.
Can an AI receptionist book the appointment during the call?
Some products say they check your calendar and create the booking while the caller is still on the line; others only take a message. Don't rely on the sales page. Make a test call and look for a new event on your own calendar or dispatch app before the call summary arrives.
Why does the bot say it booked, but nothing is on my calendar?
Usually the calendar connection failed, the booking went to a different calendar or staff member, or the product only sends a booking request for you to accept. Ask the vendor what happens when the calendar connection fails, and whether the caller is told.
Does it work with Google Calendar, Outlook, Calendly or my field-service app?
Ask for the exact list of calendars and dispatch apps it connects to, whether the sync works both ways, and whether it can reschedule and cancel as well as book. Then test with the calendar you actually use.
Is an AI receptionist worth it at a few calls a day?
At low volume the monthly plan price matters more than the per-minute rate. Work out the cost per call at your real volume, and check whether spam and wrong-number calls count toward your minutes.
Does it book after hours and on weekends?
Ask whether it books into after-hours slots or only takes messages outside your hours, and how it handles urgent calls. Test once during business hours and once at night or on a weekend.
How can I test whether a bot actually books jobs?
Call it yourself from a phone it has never seen, ask for a real job (for example a repair next Tuesday morning), and then check your own calendar or dispatch app. A booked job means a new appointment appears there with the right name, number, address and time. If you only get an email or text summary, the bot took a message; it did not book. Repeat with an after-hours call and with a caller who changes their mind.
How do I work out the cost per call?
Monthly cost is the plan price, plus your calls or minutes above the included amount times the overage rate, plus phone number and add-on fees. Divide that by your calls per month. Ask about setup fees, minimum terms and whether spam or wrong-number calls count.
Does the bot have to say it is an AI?
Laws on AI disclosure and call recording vary by state and country and change often. Some US states require everyone on a call to consent to recording, and some have rules about telling people they are talking to AI. US federal rules also restrict outbound calls that use AI-generated voices. Check the rules where you and your callers are, or ask a lawyer. This is general information, not legal advice.
Can the bot record or transcribe my calls?
Many bots record or transcribe every call by default. Ask the vendor where recordings and transcripts are stored, how long they are kept, and how you delete them.
